Assign tasks to employees for a better Onboarding ✅

Filling out files, uploading documents, and preparing work devices - Onboarding workflows usually involve many tasks to be completed by different team members. We’ve now made this process easier.

Just head to Workflows in the HR app, create a sequence of tasks, assign the responsible person and select a due date. Employees will automatically be notified about their tasks in the Employee Hub.

In the Overview section, you can see all the assigned tasks listed and keep track of the progress of their completion.

Ready for smooth Onboarding workflows? Give it a try and let us know what you think 😊

Workflow Templates That Save You Manual Work 📄

There are some parts of the HR team’s day-to-day job that can be very time consuming. But they don't have to be. Templates can be set up to save you time in a variety of processes - from performance reviews of your team members to writing a letter of recommendation.

Create document templates in flair and personalise them later, in no time.

To set up a template, go to the Workflow section. First, you need to create a new Workflow Template. Second, you need to add the tasks to be completed. These can be different types of tasks, such as entering bank details, creating an account or uploading documents.

Then, add all the details - who is responsible, who can view the task, what needs to be completed, what format is required and when is it due. Click “Save” and select the template when you need it.

We hope this feature gives you more time for things that count. Let us know what you think👇

PAYROLL RUN: CUSTOMIZE AND EXPORT FILES 🎨

Are you using external payroll apps? Then you’ll enjoy this update 👍

As an HR Manager you are now able to customise the documents that are available to export in your Payroll Runs. Simply define the set of files on the Payroll Territory Page and saved it for the following payroll runs ✅

flair suggests a standard set of files which are available for download. But you can hide those you don’t want to see, tweak the names, change the formats and the order - customise it to your needs.

Prefer to create your own files? Elements that are labeled with “editable” allow you to pick and choose the labels you want to add to your exported file: names, IDs, salaries, bonuses, etc.

Ready to go? Find your customised set of files in the Payroll Runs section 🎉

Let us know how you get on!

Archive (and Unarchive) Absence Categories 🙌

Great news! We've made it easier to manage Absence Categories  🙌

The archive button allows you to hide absence categories by simply going to Absence Settings and clicking “Archive”, there’s also an option to “Unarchive”, if you change your mind later.

Whether your absence categories are active or archived, all historical data is safely stored in Salesforce.

This feature allows you to experiment with different absence formats without losing important insights. Enjoy and let us know how it is working for you!

Comment on your Absence Rejection 💬

Sometimes there are good reasons to reject your employee’s request for absence. Just make sure they understand the reason behind your decision. We want to allow for that communication to happen and therefore we’ve added the option to leave a comment when you have to turn down a request..

When rejecting a request simply add the reasoning in order for employees to better understand your decision. We hope this makes absence rejections just a little easier.

Set Absence Request Policies 🎉

Giving your employees the time off they need and deserve is an essential part of your company culture. We’ve just launched a new feature that allows you to set rules around each absence request i.e create your own Absence Request Policies.

After you’ve set up your own absence categories, be it birthdays, PTO, sick days, charity days, sabbaticals or any other. Then you can set the rules for each request. Customize the limitations for employees, markets and categories.

There might be a policy making sure that new parents take at least two weeks off for parental leave, while for vacation you might want to receive a request a month ahead of time, in order to plan your resources.

If there’s more than one, enabled and assigned Absence Request Policies are listed in the Employee HUB when an Absence Category is selected.

If the request falls outside of the policy, the employee immediately receives an error message informing them about why they are restricted.

Keep in mind the limitations appearing on your employee's screen are your absence request policies' names - so name them carefully. Go try it and let us know what you think!

Get a better view of Employee Documents

We've introduced a bunch of improvements to make it easier to browse and find employee documents in the flair HR app.

Documents are now shown on one list with all necessary data available at once and you can filter them by categories. We've also added the ability to put notes when you upload the document. Handy, if you want an additional description or message.

Another great option is that you can set the visibility of each document. If you select "HR", the document will only be visible in the HR Salesforce app. Good for sensitive information and to keep the Employee HUB clean.
