PAYROLL RUN: CUSTOMIZE AND EXPORT FILES 🎨

Are you using external payroll apps? Then you’ll enjoy this update 👍

As an HR Manager you are now able to customise the documents that are available to export in your Payroll Runs. Simply define the set of files on the Payroll Territory Page and saved it for the following payroll runs ✅

flair suggests a standard set of files which are available for download. But you can hide those you don’t want to see, tweak the names, change the formats and the order - customise it to your needs.

Prefer to create your own files? Elements that are labeled with “editable” allow you to pick and choose the labels you want to add to your exported file: names, IDs, salaries, bonuses, etc.

Ready to go? Find your customised set of files in the Payroll Runs section 🎉

Archive (and Unarchive) Absence Categories 🙌

Great news! We've made it easier to manage Absence Categories  🙌

The archive button allows you to hide absence categories by simply going to Absence Settings and clicking “Archive”, there’s also an option to “Unarchive”, if you change your mind later. 


Whether your absence categories are active or archived, all historical data is safely stored in Salesforce.

This feature allows you to experiment with different absence formats without losing important insights. Enjoy and let us know how it is working for you!

Comment on your Absence Rejection 💬

Sometimes there are good reasons to reject your employee’s request for absence. Just make sure they understand the reason behind your decision. We want to allow for that communication to happen and therefore we’ve added the option to leave a comment when you have to turn down a request.. 

When rejecting a request simply add the reasoning in order for employees to better understand your decision. We hope this makes absence rejections just a little easier.

Get a better view of Employee Documents

We've introduced a bunch of improvements to make it easier to browse and find employee documents in the flair HR app. 

Documents are now shown on one list with all necessary data available at once and you can filter them by categories. We've also added the ability to put notes when you upload the document. Handy, if you want an additional description or message. 

Another great option is that you can set the visibility of each document. If you select "HR", the document will only be visible in the HR Salesforce app. Good for sensitive information and to keep the Employee HUB clean.

New Shift planner Updates in Salesforce!🚀

We're happy to announce some new updates and improvements for our Shift planner feature. One of our main goals for these new updates was to give Admins/shift managers complete visibility and access for them to schedule shifts and view shifts across all locations in Salesforce.

Multi-Location and Single-Location Mode
Before now, the shift planner could only be accessed through a specific location and shifts could only be scheduled based on that location. Now, you can view your shift planner showing all employees from all locations or filter by multiple locations at a time. 

To access your multi-location shift planner, you start by navigating to the "Attendance" page and clicking on the 'manage shifts' button under the shifts sub-menu.

Users can still have the option to view shifts from a single location by selecting a specific location from the dropdown on the right side of the header bar. Open shifts can only be viewed and scheduled when in single locations mode.

Improved Filtering options
We have improved our filtering options across multi-location and single-location shift planner views. Users can filter by department, skills and locations in multi-location views. We introduced filter pills to help you easily remove a specific filter without having to reset them. These pills will appear at the top of the planner and all employee shifts relevant to the filtered options will appear which also include invited employees.

Departmental and Location View
We also created different access paths for shift managers to view and schedule shifts through specific segments. Similar to the location-based shift planner view, users can also view shifts based on departments through the shifts block on the departments' record pages as well as through the locations record page


Visible colours for predefined shifts in draft state.
Before now, we could not see the colour of our set predefined shifts in the draft state. So we made the outline of the drafted shift as well as the text of the time period in the predefined colour so you can ensure that you're getting the right colour-coded shifts before publishing.

Skills in Shift Planner
To avoid too many unnecessary skills being displayed in the shift planner, we have added an option to indicate when creating a skill if it should be used in shift planning. All employee skills that show in the shift planner are only those that were selected to be used in the shift planner when they were created



Shiftplanner Classic
For some of our users who are not keen on change and are comfortable and familiar with the current process and will like to continue using it, we have decided to preserve the original shift planner which we now call "shift planner classic". This can be found in the dropdown menu in the shifts block of the location page

Check Employee Changes and Absences for Your Payroll Run

During the pay period, many changes and events may happen to employees. Some of them affect how employees are paid. For you to be "on track" with the meaningful events we prepared a bunch of updates for the payroll run page.

The Enhanced Overview is now showing a summary of changes and absences that employees had during the payroll period.

When clicking on the summarized data you'll see the details related to the exact employee and may mark each of the events as "to do" or "completed".

If you'd like to see all the changes for all the employees in the payroll run just select the Data Changes tab or Absences tab, and filter the data the way you need.

You may ask if we keep the salaries overview you had before — we do, with some updates! We moved the tabs with new hires, employees with salary changes, etc. to a filter, added filtering by statuses, and a great summary/average line below the table.

Candidate Email Scheduling in Recruiting

There are occasions when we have to send emails to candidates at a specific time when we may not readily be available. Now, our new candidate email scheduling feature will bring about that much-needed convenience, such that your emails can be scheduled and delivered to your recipient even when you are away or out of the office. 

To get started, it is important to have a list of email templates to choose from. All you have to do is open 'Email templates' from your Salesforce App launcher menu and create the templates needed.

This is would come in handy for hiring managers and recruiters to help them manage their day-to-day email operations. You can send scheduled emails for candidates individually or schedule emails for multiple candidates at a time.

Email Schedule for a Single Candidate: You can schedule an email right on the candidate's record page.

Email Schedule for Multiple Candidates: To schedule emails for more than one candidate, you can select them from the candidates' list and schedule your email by choosing the template and time you want the recipient to receive them. We also added the option for mass status change, this allows you to change the application status of the selected candidates when scheduling their emails.

"Traffic Lights" to contact candidates on time

Have you noticed the "traffic lights" on the Candidates' page?

The green, yellow or red squares in each candidate record show how long the candidate has spent at a specific funnel stage. When it's less than three days, you will see a green light, three to five days — yellow, and after five days, the light turns red, reminding you to get in touch with the applicant.

When a candidate is hired or rejected, the traffic light is no longer shown in the record as a final decision has been made for them.
