New Shift planner Updates in Salesforce!🚀

We're happy to announce some new updates and improvements for our Shift planner feature. One of our main goals for these new updates was to give Admins/shift managers complete visibility and access for them to schedule shifts and view shifts across all locations in Salesforce.

Multi-Location and Single-Location Mode
Before now, the shift planner could only be accessed through a specific location and shifts could only be scheduled based on that location. Now, you can view your shift planner showing all employees from all locations or filter by multiple locations at a time. 

To access your multi-location shift planner, you start by navigating to the "Attendance" page and clicking on the 'manage shifts' button under the shifts sub-menu.

Users can still have the option to view shifts from a single location by selecting a specific location from the dropdown on the right side of the header bar. Open shifts can only be viewed and scheduled when in single locations mode.

Improved Filtering options
We have improved our filtering options across multi-location and single-location shift planner views. Users can filter by department, skills and locations in multi-location views. We introduced filter pills to help you easily remove a specific filter without having to reset them. These pills will appear at the top of the planner and all employee shifts relevant to the filtered options will appear which also include invited employees.

Departmental and Location View
We also created different access paths for shift managers to view and schedule shifts through specific segments. Similar to the location-based shift planner view, users can also view shifts based on departments through the shifts block on the departments' record pages as well as through the locations record page


Visible colours for predefined shifts in draft state.
Before now, we could not see the colour of our set predefined shifts in the draft state. So we made the outline of the drafted shift as well as the text of the time period in the predefined colour so you can ensure that you're getting the right colour-coded shifts before publishing.

Skills in Shift Planner
To avoid too many unnecessary skills being displayed in the shift planner, we have added an option to indicate when creating a skill if it should be used in shift planning. All employee skills that show in the shift planner are only those that were selected to be used in the shift planner when they were created



Shiftplanner Classic
For some of our users who are not keen on change and are comfortable and familiar with the current process and will like to continue using it, we have decided to preserve the original shift planner which we now call "shift planner classic". This can be found in the dropdown menu in the shifts block of the location page

Location shifts filtering in the Employee HUB


We've made a few changes to the shift planner in the Hub. Not only can you view all employee shifts in your location, but we're also giving you the ability to narrow down this view with filtering and viewing options, this is especially important for companies with a high number of employees. 

Now users of the employee hub can view and filter all employee shifts by

  • Filter by departments
  • Filter by Skills
  • Day view
  • Weekly view

This was introduced to give our users more viewing options and help guide them in their specific search. We hope you enjoy this improvement. We look forward to your feedback.

Shift Planner Improvements

We're constantly working to improve your shift planning experience, here's a summary of what's been improved.

Assigning labels to shifts: You can set up labels for your predefined shifts to help your employees identify areas they need to work on during their shifts. Labels can be used in different ways; either as deliverables for your employees during their shift or even as locations or sections where your employees need to work during a particular shift.
Think of it as indicators for your employees, so they can instantly know what they need to focus on during their shifts.


Notifications for shift changes: Now employees will receive email notifications for when they have been unassigned from an open shift and when an assigned shift has been deleted.


Save confirmation when editing a shift: We have added a button to prompt you to save when editing a shift. Now you can be sure all your changes when editing a shift has been successfully saved

Manage your shifts with color coding!

We've introduced a colour coding function to help guide you in managing your shifts. Colour codes can now be attached to your set predefined shifts which allow you to display your shifts in different colours so you can easily identify your different shift types. 

You can add colour codes when creating a new predefined shift or add them to already existing predefined shifts. It's important to ensure that you do not choose a colour that is too light to avoid making time periods not visible in the shift planner.

After adding your colour codes, they will automatically reflect after publishing your selected predefined shifts in the shift planner.

A New Look for Locations 📍

We've reworked our Locations page to let you digest what's going on easier. Depending on your role, you will find:

  • A cleaner header with all the important information for contacting the location: its' time zone, main email, and phone number. Due to the pandemic, the remote-basis has accelerated its implementation, therefore, we've added a checkbox to let you identify if the location supports remote work, as well.
  • A new card collecting everything about Shifts in one single place: in case there are shifts assigned on this location for the current day, you will see how many there are at a glance. In the arrow button, you will be able to launch the modals to set predefined shifts or skills demanded.
  • A new card Collecting everything about Availability: upcoming holidays, business time, and preparation time.
  • The Overview is another nicer addition to the Locations page. You will find a cool map integrated and some statistics to, for instance, help you achieve DEI (Diversity, Equity, and Inclusion) compliance better.
  • One tab to collect all the Employees of the Location. No longer up to 6 employees. You will also be able to add or assign employees to the location from there.
  • One tab to collect all the Inventory items of the Location. You will be able to add items to the Locations' inventory from there.
  • One tab to collect all the Jobs on that Location. You will be able to create Job Offers for the Location from there.

Get your timesheets into Shift Planner

We have improved our Shift Planner! There will never again be differences between the hours in the Shift Planner and the timesheets.

To ensure that the workload in the Shift Planner always corresponds to reality and thus to the timesheets, you can now easily enter them into the Shift Planner. This way, you always have the actual working hours in your Shift Planner and you can be sure that nothing falls under the table.

Enjoy the two different Calendar Views in "My Shifts"

Now the “My shifts” dashboard within the shifts calendar is more efficient with weekly and daily overviews!

You can filter “My Shifts” by week or day, look for open shifts you might want to take, as well as filter shifts by individual or multiple employees in order to plan your own shifts accordingly as a colleague or better navigate as a manager.

A summary of new functionalities:

- View your own shifts

- View your colleagues' shifts

- View invited colleagues shifts

- View multi-day shifts

- Open Shifts: Send requests, remove requests, and block requests for open shifts overlapping with confirmed shifts

- View all details of a shift in a tooltip

Shift Publishing

Take your time to plan shifts for your employees: you can experiment with the schedule and once you are ready you can publish them. Afterwards all shifts will be available in the employee HUB and everyone involved will receive an email notification.
